Link indexing for SEO agencies

SEO agencies index client backlinks by running one batch per client: check every new link URL, submit only the unindexed ones, schedule a re-check 1 to 5 days later and report indexed versus pending links. Budgeting in credits per client keeps costs traceable and avoids paying to submit links that were already indexed.

The agency problem

An agency that builds links for twenty clients may place several hundred links a month across guest posts, niche edits, citations and press pickups. Clients pay for links that count, and a link on a page Google has not indexed cannot be seen by Google. At the same time, the agency owns none of the host sites, so Search Console is no help, and checking hundreds of URLs by hand with site: queries is slow and unreliable.

Agency link indexing therefore has two goals: get unindexed link pages crawled, and produce a record a client can read. The tooling question is less about raw submission and more about bookkeeping.

A monthly workflow

  1. Freeze the link list. At a fixed date, export every link delivered for each client: the URL of the page carrying the link, the target, the link type and the delivery date.
  2. Wait for natural indexing. Links delivered in the last few days need time. A practical rule is to include only links at least a week old in the batch.
  3. Check per client. Run one index-check batch per client so results and credit use stay separate. IndexChex's own weekly measurement (October 2026) puts its checker at about 96% accurate on average, so a small number of results deserve a manual look before you report them.
  4. Submit the not-indexed URLs. Move the misses into a standard submission. For a client with a very large monthly volume, use drip feed to spread the job over several days.
  5. Schedule the re-check. Attach a re-check 1 to 5 days after submission so the follow-up runs without anyone remembering it.
  6. Resubmit once, then escalate. Links still missing after a second cycle go to the link-building team: the host may have deleted the page, added noindex or be a low-quality site Google does not keep.
  7. Report. Export the results to CSV and add a short summary to the monthly client report.

Budgeting credits

Credits make per-client cost easy to compute. A client receiving 80 links a month needs 80 credits for the first check. If 35 are not indexed, submission costs 35 credits and the scheduled re-check another 35, for 150 credits a month. Twenty clients of that size use about 3,000 credits monthly, which fits a Starter plan ($19.99 for 5,000 credits). An agency handling ten times that volume would look at the Growth plan ($49.99 for 25,000) or the Scale plan ($149.99 for 100,000).

Subscription credits roll over up to twice the monthly allotment, which absorbs months with fewer deliveries. Pack credits do not expire while the account is active, which suits agencies with irregular campaigns. Instant mode is the exception that blows budgets: 60 credits per URL means ten instant submissions cost more than a full month of standard work for a small client.

Automation

Pitfalls

  • Mixing clients in one batch. It saves a few clicks and makes billing and reporting harder for the rest of the month.
  • Reporting "submitted" as "indexed". Submission guarantees a crawl, not inclusion in the index. Report the re-check result.
  • Ignoring lost links. A link that vanished will never index. Watch for link rot before spending credits.
  • Submitting nofollow or sponsored placements without thought. They can be indexed, but the client should know they are not intended to pass ranking credit.

Should agencies index every link they build?

No. Check first and submit only links that are not indexed. Links on strong, frequently crawled hosts are often indexed without help.

How should an agency bill indexing to clients?

Most agencies either include it in the link-building fee or pass through the credit cost. Tracking credits per client batch makes either approach easy to justify.
